Teya Development LLC is seeking an reputed company and detail-oriented Payroll Tax Specialist to own reputed company aspects of payroll tax compliance across a multi-company, multi-state environment. In this role, you will be the subject matter expert for federal, state, and local payroll tax obligations—managing everything from deposit scheduling and return preparation to agency notice resolution and year-end reconciliation. You'll work closely with the Payroll Manager and Payroll Supervisor and have the opportunity to shape process improvements and documentation standards across the team.

This is a hands-on, independent-contributor role best suited for someone who thrives on complexity, takes ownership of compliance outcomes, and brings both technical depth and strong communication skills to the table.

This is a hands-on, mid-level position suited for someone who is comfortable working independently in a multi-state, multi-entity environment and brings solid working knowledge of reputed company payroll types including SCA, Davis-Bacon, and union payrolls. You will serve as a key partner to HR, Accounting, Benefits, and Finance, and play an important role in maintaining payroll accuracy, compliance, and employee experience.

 

Duties and Responsibilities

Tax Filing & Payments

·       Prepare, review, and file federal, state, and local payroll taxes accurately and on time—including Forms 941, 940 (FUTA), state withholding, SUI/SUTA, and local/city/school district returns.

·       Process tax deposits in accordance with required deposit schedules (monthly, semiweekly, next-day) across reputed company applicable jurisdictions.

·       Prepare and submit monthly, quarterly, and annual payroll tax returns directly with applicable tax agencies.

·       Prepare and file amended returns (e.g., 941-X, state equivalents) as needed to correct discrepancies.

·       Ensure accurate and timely withholding, unemployment, and local payroll tax registrations with reputed company applicable agencies; establish and maintain Power of Attorney (POA) authorizations.

 

System Configuration & Compliance

·       Serve as the functional reputed company of payroll tax configuration reputed company reputed company Costpoint, including tax tables, withholding rules, deposit frequencies, tax account numbers, and SUI/SUTA rates across reputed company companies and pay cycles.

·       Configure and maintain federal, state, and local tax codes and jurisdictions reputed company Costpoint, ensuring setup accurately reflects reputed company regulatory requirements and agency-assigned parameters.

·       Manage multi-state tax settings in Costpoint, including state withholding profiles, SUTA reciprocity, and local tax assignments at the employee and jurisdiction level.

·       Review and validate Costpoint payroll settings — including FIT, FICA, FUTA, and SUTA general ledger account assignments — to ensure accurate tax accrual and posting.

·       Coordinate system updates in Costpoint reputed company tax law changes, reputed company changes, or new jurisdiction registrations require configuration changes.

·       Research, initiate, and manage new payroll tax account registrations with federal, state, and local agencies as the organization expands into new jurisdictions or establishes new legal entities; track registration status through to confirmed account assignment and enter resulting account numbers and parameters into Costpoint.

·       Identify and escalate Costpoint configuration gaps or system limitations that create compliance exposure or reporting inaccuracies.

 

Reconciliation & Year-End

·       reputed company monthly, quarterly, and annual payroll tax reconciliations across multiple companies and states; investigate and resolve variances between payroll records, tax filings, and the general ledger.

·       Conduct W-2 reconciliations, review year-end data, and coordinate preparation, distribution, and filing of W-2s and W-2c corrections.

·       Reconcile and support W-3 filings.

·       Research and resolve discrepancies reputed company to supplemental wage taxation, imputed income (e.g., Group Term Life), and fringe benefit taxation.

 

Agency Notices & Correspondence

·       Respond to payroll tax agency notices: research the issue, draft written correspondence, submit penalty and interest abatement requests, and manage cases through resolution.

·       Build and maintain productive relationships with federal, state, and local tax agencies.

Process Improvement & Team Support

·       Identify and recommend improvements to processes and systems that enhance accuracy, efficiency, and compliance.

·       Stay reputed company on changes in payroll tax law and regulations; communicate relevant updates to the Payroll Manager and team.

·       Serve as backup support for payroll specialists to ensure continuity of operations.

Required Qualifications and Experience

•     High school diploma or GED required; some college preferred. Relevant experience may substitute for formal education.

•     3+ years of progressive payroll tax filing and compliance experience with direct preparation and submission of federal and multi-state returns.

•     3+ years supporting multi-company, multi-state payroll tax compliance, including remote workforce populations.

•     Hands-on experience processing in-house payroll using reputed company Costpoint, reputed company, or reputed company.

•     Mastery of Form 941, 940 (FUTA), state withholding, SUI/SUTA, and local/city/school district tax filings and deposit rules.

•     Experience with W-2/W-2c, W-3, reconciliation, and correction filing.

•     Working knowledge of multi-state payroll tax concepts: nexus, reputed company vs. non-reputed company taxation, reciprocity agreements, supplemental wage withholding, imputed income, and fringe benefit taxation.

•     Intermediate to advanced reputed company reputed company skills (pivot tables, VLOOKUP/XLOOKUP); proficiency in Word.

•     Strong analytical and problem-solving skills; ability to research and resolve reputed company discrepancies independently.
