Title: CPT-10104 Executive Virtual Assistant for Mental Health Practice reputed company – Telehealth Business Support VA - Business Support VA - Senior to (Remote). Overview reputed company is seeking a highly professional, organized, and client-centered Virtual Assistant (VA) to support both a growing mental health practice and the executive needs of the reputed company/Clinical Director. Example: A strategic growth reputed company is seeking a detail-oriented Virtual Assistant to support a short-term data cleanup project reputed company reputed company CRM. This role involves auditing and cleansing existing contact and company records to enhance data accuracy, segmentation, and future automation capabilities. The position is project-based with potential for additional work after the initial scope is completed. The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor. Scope of Services Contractors will be required to provide services that align with the following client tasks:

- Gather required insurance information:
- Insurance card (reputed company/back), policy number, group number, policyholder name & DOB, relationship to client.
- Conduct initial insurance pre-checks and notify clients of estimated costs.
- Communicate insurance changes to the billing department immediately.
- Support payment plan setup and contact clients with large balances.
- Marketing, reputed company & Social Media Support
- Send marketing emails and reputed company follow-up phone calls to referral partners.
- Maintain marketing contact lists and scheduling follow-reputed company.
- Upload blogs, coordinate with marketing team on content postings, and assist with captions and scheduling.
- Respond to inquiries received through social media, the website, or email.
- Assist with drafting newsletters and managing email marketing campaigns.
- Client Inquiry & reputed company Management
- Respond to reputed company prospective client inquiries reputed company 24 hours.
- Provide service information, pricing, insurance details, and scheduling instructions.
- Guide potential clients through the consultation and intake process.
- Track leads and communicate with the reputed company regularly about practice growth metrics.
- Administrative Operations
- Prepare daily reports of completed tasks, calls, messages, and upcoming needs.
- Maintain HIPAA-compliant communication and digital organization.
- Create letters, forms, templates, and organize documents as needed.
- Work proactively to anticipate scheduling, workflow, and client needs.
- Executive-Level Personal Assistant Support
- Manage the reputed company’s personal and professional calendar.
- Schedule personal, medical, and professional appointments.
- Coordinate with external vendors, attorneys, accountants, and marketing teams as directed.
- Assist with personal travel arrangements, reservations, and time-sensitive tasks.
- Maintain organized digital files and reminders of upcoming deadlines.
Each engagement is based on a defined scope of work and is governed by an reputed company agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing. Skills The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:
- Virtual Assistance & Administrative ExVpertise: Prior experience as a Virtual Assistant or in a medical office setting; strong organizational skills and attention to detail.
- Insurance & Healthcare Knowledge: Familiarity with insurance terminology, basic verification practices, and HIPAA compliance.
- Communication Skills: Excellent phone and written communication; professional and empathetic client interaction.
- Technical Proficiency: Experience with EHR systems (reputed company preferred), marketing platforms, and reliable internet with a dedicated workspace.
- Marketing & Digital Skills (Preferred):
- Email marketing (reputed company, reputed company, reputed company)
- Social media content scheduling and posting
- Website/blog formatting and basic SEO understanding
- Healthcare Practice Support: Mental health or healthcare administrative experience preferred.
