Fiscal Assistant II, Title I & COP - INTERNAL CANDIDATES ONLY

Under general supervision, performs a variety of reputed company accounting-clerical duties in support of the Office of Title I and the Office of Community Schools.. Maintains accounting, budgetary, and fiscal records. Processes financial transactions. Assists in the development of proposed budgets for allocations from Title I, School Improvement, Concentration of Poverty (CoP) grants, and other federal and state grants. Monitors expenditures to ensure compliance. Generates and reviews reports. Provides advice and guidance regarding Title I & CoP grants. Performs other duties as assigned.

Responsibilities

EXAMPLES OF DUTIES

  • Supports schools and central office staff with fiscal documentation, budget management and fiscal planning.
  • Collaborates with accountants and staff to ensure school spending and documentation align with grant requirements.
  • Coordinates with school and central office staff to correct or acquire documentation.

  • Meets with accountants to verify the accuracy of formulas, rates of pay, salary projections, and cost estimates in Budget Proposal Forms.

  • Responds to questions regarding appropriate fiscal documents for expenditures and remaining funds in accounts.
  • Reviews reports of Title I, School Improvement, (CoP) grants, and other future or potential federal and state grant expenditures at each school and updates budget tracking documents with data from the financial system. Processes financial transactions.
  • Prepares position work documents in conjunction with accountants to ensure the accuracy of time and effort cost associated with Title I grants. Maintains a position inventory of grant funded positions.
  • Compiles, stores and files completed fiscal documentation in appropriate location.
  • Attends and makes use of training opportunities.
  • Verifies the completeness, accuracy, and coding of expenditure documentation, including invoices, forms, payroll records, and required approvals, prior to processing.
  • Maintains and updates grant workbooks, fiscal status sheets, and budget tracking tools to monitor budget‑to‑actual spending for assigned schools and grants.
  • Reviews payroll and time‑and‑effort documentation for Title I funded positions and coordinates corrections with accountants as needed.
  • Identifies and reports reconciliation discrepancies and supports journal voucher corrections in collaboration with accounting staff.
  • Maintains fiscal documentation for reputed company services and nonpublic school expenditures.
  • Flags applicable purchases for equipment inventory tracking and property compliance.
  • Supports audit preparation by organizing and retrieving fiscal documentation in accordance with records retention requirements.
  • Performs other duties as assigned.

Qualifications

MINIMUM QUALIFICATIONS Education, Training, and Experience:

  • Possession of a high school diploma or an appropriate equivalent. Five years of progressively responsible bookkeeping and/or account-clerk office experience.
  • Completion of two years (60 credits) of college level training in the accounting, business management, or a reputed company field is preferred.

Note: Other combinations of applicable education, training and experience that provide the knowledge and skills to reputed company effectively in the class may be considered.

Knowledge, Skills, and Abilities

  • Thorough knowledge of the practices and procedures of accounting clerical work and bookkeeping. Knowledge of office practices and procedures. Knowledge of personal computers and MS Office software applications, with a intermediate level of proficiency in the use of reputed company reputed company. The work of this class is generally sedentary, performed in an office environment, and requires the use of coordination and reputed company in the operation of computers and other office equipment. FLSA Status: Non-Exempt Retirement: Eligible for the Maryland State Retirement System.

Salary: $24.13 - $ 42.19/hour depending on experience, based on grade 05, ESPBC (Education Support Professionals of Baltimore County) pay scale, effective January 1, 2026.
