Job Description: Summary: This position coordinates the daily workflow of the Collections and Bibliographic Services Department, supporting both electronic resource management and cataloging across multiple formats. Working under the guidance of professional catalogers, the Cataloging Coordinator oversees the e-resource lifecycle and maintains high-quality bibliographic and holdings data by evaluating, updating, and correcting records for accuracy, consistency, and clarity. The role requires strong knowledge of library systems—preferably Ex Libris Alma—along with metadata standards and e-resource management practices. Success in this position depends on independent judgment, self-direction, and adherence to American University’s Human Resources policies and procedures. Essential Functions: 1.) Electronic Resource Management Support e-resource lifecycle management: activate and manage electronic packages, portfolios, coverage data, Central Discovery Index (CDI) and related Alma components with accurate, timely updates. Import, update, and enhance bibliographic records from various sources, including Alma’s knowledge base, OCLC, and vendors, to maintain high-quality metadata and ensure discoverability. Maintain and improve link resolver accuracy and OpenURL configurations to support seamless access across systems. Assist with systems integration and API-based connections. Help configure and manage remote access services including OpenAthens, and DUO authentication; Troubleshoot and resolve access issues in collaboration with vendors and IT teams. Evaluate and implement Alma feature releases and related system updates to stay current with platform enhancements and best practices. Maintain the accuracy of the A–Z database list and other conceptual lists. Document workflows, procedures, and troubleshooting steps for end-user support or the public facing help. Communicate service changes, outages, trials, and updates to ensure knowledge sharing across staff. Metadata Management Catalog a broad range of library materials in accordance with current cataloging standards, departmental practices, and WRLC Network Zone policies. Perform a range of metadata management tasks—such as editing and enhancing bibliographic, holdings, and item records; running import profiles; conducting authority control; merging duplicates; performing inventory and cleanup projects; normalizing and validating metadata; managing discovery index; and supporting data migration—while monitoring batch processes, automated jobs, and import/export and synchronization workflows. Support the integration of third-party applications, API connections, and vendor platforms with Alma. Maintain and update library holdings in OCLC WorldCat to ensure accurate reflection of the library's collection. Gain expertise in Alma Analytics and produce data-driven reports for statistical, analytical and collection-development purposes. Monitor and adjust Primo display, indexing, and normalization outcomes to ensure cataloging decisions support optimal user discovery. Collaborate with Technical Services colleagues to develop and document cataloging standards, procedures, and workflows. 3.) Physical Materials Processing and Collections Integrity Catalog and process new print and microform materials, including receiving, inspecting, labeling, cover marking, and barcoding; Collaborate with the Serials Specialist to manage the receipt, filing, and withdrawal of continuation resources. Create and maintain accurate records of processed items, including serials records and update bibliographic records with no inventories. Provide expedited, on-the-fly processing and delivery of rush materials to WCL faculty and the community. Create provisional records for non-book circulation items to facilitate quick access. Assist with special projects such as reclassification, inventory, weeding, and space-management initiatives, and participate in working groups and cross-unit projects to improve workflows and enhance the end-user experience. Oversee binding service, handling preparation, shipment, and receipt of materials and maintaining accurate tracking through the library system’s binding functionality. Select, import, and catalog bibliographic records for government documents to ensure accurate metadata, discovery, and access. Collaborate with the Serials Specialist to receive, organize, and disseminate materials; verify shipping lists and receipts against the FDLP selection profile; and report any SuDoc classification discrepancies to maintain catalog consistency. 4.) Other Duties as Assigned Provide backup support for public services, acquisitions, or serials workflows as needed. Support digitization and digital initiatives by curating digital assets, generating metadata, and ensuring accurate and consistent description of materials. Undertake special projects or support services as assigned by the department or library management.
