We are looking for organizaed professionals to assist in property operations business managing premium short-term rental homes. We focus on delivering 5-star experiences and quality, positive investments for our owners through seemless backend softwares, strong contractor coordination, and one-of-a-kind guest experiences. We’re looking for a reliable, detail-oriented Operations Assistant to support our Operations Manager. This role with start with detailed training and has the opportunity to grow into a full-time manager position. Key Tasks & Role: You will:

  • *Organize documentation and prioritize urgent requests efficiently for Manager reveiw
  • *Assisgn and coordinate tasks between cleaning, maintenance, vendors (pest control/lawncare), and guests requests
  • *Remain readily on-call and avaialble for entirty of work hours for vigilant guest communication
  • *Lead certain operational, documentation, and coordination tasks independently
  • *Communicate confidently via email, Hostaway (primary software), occasionally over the phone; ChatGPT can be used to assist effective and efficient communication
  • *Track tasks from start to completion—ensuring nothing slips through the cracks

This role requires ownership, strong organizational skills, follow-through, and strong communication. Key Responsibilities: --Monitoring cleaning reports, project updates, and contractor status --Responding to ALL guest communication and questions during work hours on Hostaway (property management platform) --Contacting third-party companies when guest issues encountered (ex. internet outages) --Update documents when maintenance completed and supply items placed in units --Requesting images and invoices from team to complete damage claims from guest misconduct Needs Immediate Attention – Critical --Calling (when necessary) cleaners, septic, HVAC, pest, or handyman providers to confirm service requests, schedule appointments, and clarify details --Sending urgent issues to leadership via Slack --Tracking recurring issues (e.g. mice sightings, property damage, septic backups, missing hose bibs, etc.) and contributing to SOP updates Tools You Will Work With --Hostaway (PMS system) --Turno / STR cleaning platforms --Quo - business phone recorded line --Slack - business communciation and reminders --Google Sheets, Docs, Gmail - business SOPs (operating procedures) and reports --Loom -training videos Who You Are You’ll work closely with our Operations Manager, so we’re looking for someone who is: ✔ Warm, personable, professional, and confident speaking on the phone ✔ Organized and detail-focused – nothing slips through the cracks ✔ Able to clearly communicate and follow up (written and verbal) ✔ Comfortable taking full ownership of tasks once trained ✔ Not afraid to ask questions to clarify or prevent mistakes ✔ Solutions-focused – not just reporting problems but helping solve them ✔ Thinks ahead, notices patterns, and helps create consistency Helpful (But Not Required) Experience --Hospitality or property operations --Short-term rental or vacation home management --Scheduling cleaners, contractors, or vendors --Task tracking or project coordination --Familiarity with staging, inspections, or guest readiness standards Hours & Growth Potential --Starts at 10–15 hrs/week (flexible, EST coordination required) --Long-term, growing role—not task-based or temporary --Can grow into specialized roles (Maintenance Coordinator, Operations Lead, Vendor Relations, etc.)
