This position is a member of the Airport Stations Group within the Customer Experience Division at arenaflex. As a Staff Assistant, you'll be responsible for performing a wide range of administrative tasks, including:

  • Scheduling meetings and events, writing and filing documents, ensuring phone coverage, welcoming and coordinating clients, managing mail, ordering and distributing office supplies, processing P-card expenses, tracking commemorations and birthday events, and arranging travel and hotel accommodations.

What you'll do

* Assist with planning and coordinating management presentations and special events as required

  • Manage, review, and track all local invoices through InvoiceWorks and disperse as needed
  • Investigate and resolve office technology issues, including phone and copier machines
  • Track and ensure employees complete onboarding tasks, including proper system access, assignment of storage spaces, letter drops, uniforms, identification cards, fingerprinting, training, etc.
  • Assist in station event planning, coordination, and execution (e.g., team-building activities, lunch meetings, celebration events, recognition events)
  • Handle finance processing in Workbrain for management and care staff
  • Process deprivation letters and arrange local communications and responses
  • Oversee employee terminations, including approvals and tasks, as required
  • Assist with timekeeping capabilities, data entry, data validation, compromises, and recording
  • Maintain employee records, as needed
  • Maintain station meeting plans, including monthly crisis response
  • Access and manage various intermittent reports, including performance, review, cost, employee engagement and recognition, etc.
  • Update required manuals and maintain all security-related items
  • Serve as backup for other finance capabilities
  • Oversee records for OSHA, security, etc. (301's, weekly and annual)
  • Assist with budget planning and compromise, including monthly reconciliation of landing charges
  • Uphold auditing exercises as required
  • Track and confirm incentive reserves earned
  • Liaise with CRE/Offices and vendors to follow local projects, as needed
  • Lead/coordinate work with other care staff, as needed
  • Perform other duties as required

+ Proficiency in Microsoft Office, including Word, Excel, PowerPoint, Outlook, etc. + Knowledge of policies, procedures, and corporate design + Ability to focus on work, be meticulous, and meet time constraints + Ability to multitask in a fast-paced environment and handle multiple tasks + Ability to be self-motivated and proactive + Ability to understand the concepts and functionality of specific software and systems
