POSITION SUMMARY The Senior Donation Coordinator (SDC) serves as part of a team of passionate and driven individuals responsible for coordinating the gift of health and life given through the donation of musculoskeletal, skin, cardiovascular, and ocular tissue. The primary responsibility of the Senior Donation Coordinator is speaking with potential donor families about the opportunity and benefits of donating tissue and performing a medical and behavioral screening questionnaire. SDCs train and provide effective coaching/training to Donor Operations staff with the intention of having them meet all regulatory requirements to speak to... families about tissue donation opportunities and benefits. If done well, this role has the potential to positively impact hundreds of thousands of lives. ESSENTIAL JOB DUTIES AND RESPONSIBILITIES General: • Participates as a subject matter expert (Donation Discussion) partnering with Learning and Development, Donation Coordinator Field Trainers, and Donor Operations management to evaluate, develop, and update training plans and materials for Donation Coordinators. • Works with Donation Coordinator Field Trainers to identify trends and keeps management informed of variances in application of department policies and procedures. • In conjunction with Learning and Development and Donation Coordinator Field Trainers, assists with on-going and on-the-job training of team members in Donation Discussion. • Documents Donation Discussion training progress in the learning management system in an accurate and timely manner. • Collaborates with Learning and Development, Donation Coordinator Field Trainers, and Donor Operations management to attend check-ins and provide feedback to staff. Recognizes data trends and make recommendations for improvement. • Advocates for learner by creating supportive learning opportunities. • Participates in the train-the-trainer program and the community of practice for learning. Family Care Specialist – Donation Discussion: • Provides in-depth medical screening of potential tissue donors by effectively communicating with referral source personnel to determine suitability for tissue recovery based on Food and Drugs Administration (FDA), American Association of Tissue Banks (AATB), DNWest, and tissue processor guidelines. • Utilizes all resources to maximize the opportunity to provide families with information regarding donation with a goal of obtaining authorization. • Conducts donation discussion with legally appropriate individual and documents authorization per DNWest policy. • Conducts and documents appropriate medical/social history interview with appropriate person(s) to ensure a safe and reliable supply of tissue. • Deals with death and grieving families in a caring and professional manner. Referrals and Donor Screening: • Exhibits a “rule in vs rule out” mindset while conducting all responsibilities. • Accepts inbound referral calls and emails from hospitals, hospices, medical examiner/coroner’s offices, and families and assesses suitability for organ and tissue donation, as needed. • Captures all information accurately and completely into donor management software. Provides in-depth medical screening of potential tissue donors by effectively communicating with referral source personnel to determine suitability for tissue recovery based on Food and Drugs Administration (FDA), American Association of Tissue Banks (AATB), DNWest, and tissue processor guidelines. • Discusses screening information with MOD (Manager on Duty) as appropriate. Case Coordination: • Reviews all associated clinical data and case notes in iTransplant (iTX) to preempt processors’ needs and identify any gaps in information that require follow-up with external partners. • Ensures the suitability, timely recovery, and maximal yield of donated tissues, while adhering to regulatory requirements, and best practices. • Coordinates all aspects required for donation to occur, including coordinating the recovery process with other participating agencies such as hospital, medical examiner/coroner, transportation vendors, and funeral directors. • Obtains and documents all relevant information appropriately and thoroughly throughout the entirety of a case to maximize donation opportunities. • Offers tissue to tissue processing partners and accept tissue for recovery on behalf of select partners. General Team Expectations: • Completed all Learning Management System (LMS) assignments on time. • Attend all required trainings and mandatory meetings. • Be available to complete chart corrections within a timely manner. QUALIFICATIONS • Donor Operations is 24x7x365 - the ability to work nights, days, weekends, and holidays is required. • A minimum of 5 years of experience with approaching grieving families and ability to secure tissue authorizations at DNWest or at an AATB accredited OPO/Tissue Bank. • Total number of authorized cases year over year averaging a minimum of 375. • Skilled in fostering an environment that promotes learning and practicing technical concepts/terms. • Able to communicate with clarity and kindness and able to both give and receive constructive feedback. • Awareness of or willingness to learn standard practices in presentation, facilitation, and following facilitator guides for established training. • Awareness of or willingness to learn the basics of adult learning theory and the impact of curriculum and assessment design. • Ability to communicate and present information effectively and concisely within a team environment. • Must be able to effectively maneuver through multiple computer programs operating at the same time while sitting for long hours, must be able to stay focused and attentive. These programs include, but are not limited to, computers, office equipment, telephonic management systems, electronic medical records, and Microsoft Office systems. • Excellent organization and time management skills; ability to function independently and collaboratively; demonstrate problem-solving and creative thinking skills and well-developed personal stress management skills. • Ability to speak and communicate clearly to accurately convey information to donor families, hospital staff, and transplant/procurement personnel in person or by phone. • Must possess team building and priority-setting, and strategic skills with the ability to collaborate and maintain a positive work environment with DNWest staff. • Proactive team player who can multitask with ease and uphold organizational core values. • Must possess strong attention to detail, thrives in a fast-paced dynamic environment, and adjusts to new priorities as required. • Successful SDCs thrive in a fast-paced dynamic environment and adjusts to new priorities as required. EDUCATION AND EXPERIENCE • High School diploma or equivalent required. • Bachelor’s degree in biological sciences or an equivalent degree/diploma/certification in an allied health field is preferred. Minimum of 5 years of experience may substitute for educational preference. • Minimum of 5 years direct work experience required. • Certified Transplant Preservationist (CTP), Certified Procurement Transplant Coordinator (CPTC), or Certified Tissue Banking Specialist (CTBS) preferred.
