Responsibilities

  • Performs a wide variety of administrative duties to assist the Plant Manager in the business operations
  • Assists in the preparation of agendas, presentation and reports of various meetings and plant functions.
  • Greets and assists visitors to the Plant. Maintains polite and professional communications via phone, email and mail. Assists in coverage of main phone line.
  • Assisting with scheduling plant meetings, which can include, but not limited to the following: scheduling meeting space, coordinating schedules, and responsibility for meals being provided.
  • Maintain plant personnel files and other sensitive records.
  • Distributes various daily, weekly, monthly and annual reports.
  • Makes travel, seminar and training arrangements for plant personnel.
  • Assists in planning events as needed for all activities and sustainability initiatives.
  • Assists Plant Office staff as necessary to complete daily activities and perform other duties as assigned.
  • Updates visual boards (posters, PowerPoint, etc.) at the plant as needed, including with KPI data provided by managers.
  • Assists the plant with inbound and outbound mail.

Qualifications

  • High school diploma; Associates degree preferred
  • Three (3) to five (5) years experience in an administrative role
  • Proficiency with various software applications including Microsoft Excel, Word, and Outlook
  • Must have ability to learn additional software programs, such as HRIS systems, and others
  • Capacity to work in a multi-tasking, team environment, and interact with internal and external personnel to accomplish goals
  • Excellent organizational skills and attention to detail
  • Excellent verbal and written communication skills with attention to conveying accurate and appropriate information
  • Ability to use good judgment when communicating with employees and customers, and to maintain discretion and confidentiality
  • Office environment; may be required to lift up to 10 pounds
