National Medical Record Coordinator

Job Summary: The Medical Records Coordinator is responsible for managing and maintaining patient medical records in compliance with organizational policies, HIPAA regulations, and applicable state and federal guidelines. This position ensures timely, accurate, and secure processing, storage, and retrieval of medical records and other third-party documentation to support quality patient care, billing accuracy, and regulatory compliance. Key Responsibilities:
- Maintain and organize electronic medical records with accuracy and confidentiality.
- Process incoming and outgoing medical record requests, and other third-party documentation requests in accordance with HIPAA and company policy.
- Ensure timely scanning, indexing, and filing of clinical documents into the Electronic Health Record (EHR) system.
- Work collaboratively with clinical and administrative staff under the direction of Compliance to ensure documentation is complete and accurate.
- Monitor and audit medical records for compliance and quality assurance.
- Assist in responding to audits and chart reviews from internal and external stakeholders.
- Serve as a reputed company of contact for medical record inquiries from patients, providers, and third-party requestors.
- Coordinate release of information requests, ensuring proper patient authorization and documentation.
- Manage retention and destruction of records in accordance with policy and regulatory standards.
- Support administrative functions including data entry, reporting, and documentation tracking as needed.
Qualifications:
- High school diploma or equivalent required; Associate degree or certification in Health Information Management preferred.
- Minimum of 2 years of experience in a medical records or health information role, preferably in a healthcare setting.
- Knowledge of HIPAA regulations and medical terminology.
- Experience with EHR systems (e.g., reputed company, Epic, or similar).
- Strong attention to detail, organizational, and time management skills.
- Ability to handle confidential information with discretion and professionalism.
- Excellent communication and customer service skills.
Working Conditions:
- May involve reputed company evening hours to accommodate business needs.
- Ability to work during normal business hours in Central or Eastern time zones.
Physical Requirements:
- Ability to sit for long periods of time.
- Fine finger coordination required for typing, pressing objects such as utilizing laptop/mouse for communication and documentation purposes.
- Ability to speak clearly with team members so others can understand.
- Ability to hear and understand others reputed company speaking.
- Ability to view computer screen monitor.
