TSC is seeking a highly capable and strategic Facilities Administrator to directly oversee the operational management and optimization of all company facilities. This role requires active involvement in day-to-day facility operations, maintenance, and problem-solving, in addition to providing strategic leadership. Reporting to Senior Logistics Manager, the Facilities Administrator ensures all facilities align with company objectives, support productivity, and meet safety, regulatory, and sustainability standards. The role leads and supports building maintenance, space planning, lease administration, and facility operations to optimize efficiency and resource utilization while balancing cost management and compliance. This is a remote-based position with travel up to 20% as needed to support operational requirements and initiatives. Responsibilities: Develop and implement strategies for managing company facilities in alignment with business goals and growth plans, including acquisition, construction, renovation, and lease closeout activities. Negotiate and review lease agreements to ensure favorable terms and compliance with company policies and legal requirements. Maintain accurate lease records, track expenses, develop budgets, and identify cost-saving opportunities. Lead facility maintenance strategies, including preventive and corrective maintenance, and ensure compliance with health, safety, and environmental regulations. Oversee major infrastructure systems such as HVAC, electrical, and plumbing. Monitor facilities budgets, ensuring all projects and activities are executed within financial constraints and identify cost savings. Establish and manage relationships with vendors and contractors for maintenance, construction, and other services. Ensure contracts include clear SLAs and monitor performance. Collaborate with the Safety team to ensure all facilities meet safety and security requirements, including OSHA and fire safety regulations. Develop and implement risk management and emergency preparedness plans. Oversee space planning and office layouts to optimize operational efficiency, and manage office relocations, expansions, and downsizing initiatives. Leverage facility management software for maintenance schedules, asset management, and work orders, and implement technology solutions to improve efficiency and data accuracy. Collaborate with stakeholders across departments (HR, IT, Operations, Inventory/Property) to ensure facilities support broader company goals. Develop KPIs for facility operations and provide regular reports to the supervisor. Ensure training on best practices, compliance, and systems. Required Qualifications: Bachelor’s degree in facilities management, engineering, business administration, or a related field. 8+ years of progressive experience in facilities management, with at least 5 years in a management role. Demonstrated ability to review, negotiate, and provide alternative lease terms and conditions, including leasehold improvements, tenant improvement dollars, rent abatement, and other landlord concessions. Certifications such as Certified Facility Manager (CFM), Facility Management Professional (FMP), or LEED Accredited Professional (AP) are highly desirable. Proficiency in building operations, space planning, lease/insurance management, project management, vendor negotiation, financial oversight, and sustainability initiatives. US Citizenship with the ability to obtain and maintain a security clearance. Preferred Qualifications: Experience implementing process improvements and facilities management best practices. Experience integrating technology and data analytics into facilities operations. Strong interpersonal and communication skills, with the ability to collaborate effectively across departments and with external partners. Demonstrated ability to anticipate facilities needs and proactively address challenges. Ability to work independently and as part of a high-performing, service-oriented team. Strong organizational discipline with the ability to prioritize effectively and maintain productivity in a dynamic environment.
