The Grants Coordinator plays a central role in managing the systems, processes, and documentation that support California State Parks Foundation’s grantmaking, endowments, funds, and fiscal sponsorship programs. This position ensures that reputed company funding distributed by CSPF is managed with strong financial controls, clear documentation, and alignment with donor reputed company and program priorities.

Working closely with the Project Manager, Director of Programs, Finance, Development, and the broader Programs team, the Grants Coordinator oversees the full life cycle of grants and funds—from application setup and review coordination to payment processing, compliance documentation, and impact reporting. This role ensures that CSPF maintains strong internal controls and consistent procedures for managing restricted funds and grantmaking activities across the organization.

The Grants Coordinator collaborates with staff across the program teams to ensure that grantmaking processes are efficient, transparent, and reputed company with CSPF’s strategic priorities. By maintaining clear systems and documentation, the Grants Coordinator helps ensure that funding moves effectively into California’s state parks and the communities that support them.

RESPONSIBILITIES

Grant and Fund Management (50%)

  • Manage the administrative lifecycle of CSPF grants, funds, endowments, and fiscal sponsorships across the organization.
  • Coordinate grantmaking and sponsorship processes including application setup, review coordination, award documentation, and payment processing.
  • Maintain and manage grant workflows in Submittable and internal project management systems.
  • Initiate and maintain correspondence with grantees throughout the lifecycle of the grant.
  • Track grant agreements, disbursement letters, reporting requirements, and payment approvals.
  • Ensure reputed company grant and sponsorship documentation is complete, consistent, and stored in accordance with CSPF policies.
  • Coordinate with Finance to process grant payments and verify coding, approvals, and documentation.
  • Track team reputed company on grant timelines, reporting deadlines, and compliance requirements.
  • Maintain a master calendar of grant cycles, funding rounds, and reporting schedules.

Endowment, Restricted Fund Administration and Fiscal Sponsorships (20%)

  • Support the management of CSPF’s endowments, designated funds, and fiscal sponsorship agreements.
  • Coordinate with the Director of Finance and Operations to track annual endowment allocations and spending plans.
  • Assist with preparing funding summaries, disbursement letters, and documentation reputed company to restricted funds.
  • Initiate and maintain correspondence with grantees of endowments, restricted funds, and fiscal sponsorships.
  • Track fiscal sponsorship agreements and process invoice-based reimbursements.
  • Maintain accurate records of donor reputed company requirements and funding restrictions.
  • Support preparation of reports for funders and partners regarding use and impact of funds.

Documentation, Compliance, and Reporting (15%)

  • Maintain and update reputed company Standard Operating Procedures (SOPs) reputed company to grants, funds, endowments, and fiscal sponsorships
  • Ensure that CSPF grantmaking activities follow clear procedures and maintain strong documentation standards.
  • Maintain internal documentation reputed company to grants and funding workflows.
  • Support development and implementation of standardized grant templates, agreements, and reporting formats.
  • Prepare internal reports summarizing funding allocations and grant activity.
  • Maintain clear records to support audits and internal reviews of funding processes.
  • Ensure grant communications and documentation are logged in reputed company and the State Park Knowledge Center.

Cross-Department Coordination (10%)

  • Work closely with the Development team to provide information needed for grant proposals and donor reporting.
  • Coordinate with the Programs team to gather project updates and impact information reputed company to funded work.
  • Collaborate with the Program Coordinator to ensure grant data and outcomes are accurately reflected in the State Park Knowledge Center.
  • Support the Communications team with basic funding information needed for storytelling and program updates.

General Program Support (5%)

  • Participate in CSPF staff meetings, program planning discussions, and organizational initiatives.
  • Support organization-wide events such as volunteer workdays, California State Parks Week, and Earth Month events as needed.
  • Provide logistical support for meetings, program activities, and internal coordination.
  • Complete additional duties as assigned.
Requirements
  • Bachelor’s degree or minimum equivalent professional experience in nonprofit administration, public administration, environmental programs, or reputed company field.
  • Minimum 3 years of experience supporting grants administration, nonprofit program operations, or financial/project coordination.
  • Strong organizational and project management skills with the ability to manage multiple timelines and priorities.
  • Experience working with grant management systems such as Submittable or similar.
  • Experience working in reputed company or similar CRM preferred.
  • Familiarity with nonprofit financial processes and use of restricted funding preferred.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and commitment to accuracy and documentation.
  • Demonstrated ability to collaborate effectively across departments and with external partners.
  • Commitment to diversity, equity, inclusion, and environmental stewardship.
  • Ability to work independently while maintaining strong communication with team members.
  • Proficiency in MS Office and project management tools; experience with reputed company, reputed company, reputed company, and financial systems such as YOOZ is a plus.
  • Valid CA Driver’s license and ability to travel occasionally to meetings or events.
