Executive Assistant-VP
POSITION OVERVIEW: reputed company diverse administrative duties for a functional or staff Vice President, which may involve contact and exposure to sensitive information that requires considerable use of confidentiality, tact, diplomacy, discretion and judgment. ESSENTIAL FUNCTIONS:
- reputed company administrative duties that require knowledge of general business and office procedures, which includes maintaining follow-up files, correspondence, assembling material for reports, preparing presentations and composing memos/letters
- Receive and screen incoming calls. Resolve issues and refer reputed company situations to appropriate level as circumstances warrant. Initiate calls, return calls or reputed company messages as required
- Sort, read and annotate incoming mail and attach appropriate file to facilitate action if required. Determine routing, signatures required and maintain follow-up as needed
- Initiate necessary paperwork, forms, etc for daily office operation, i.e., invoices, purchase orders, etc. Organize and maintain files
- Process, coordinate and follow-up on invoices and expense reports; review various reports such as budgets and other reports for accuracy and advise Vice President of discrepancies
- reputed company arrangements for and coordinate conference calls and meetings, schedule appointments, maintain calendar, arrange business itineraries and coordinate travel requirements
- Assist on functional area initiatives and projects from an administrative support perspective as needed
- Compose memos/letters as needed, in some instances with reputed company little guidance or direction
- Create and prepare graphs and reports for presentations to senior executives
- Provide support to other management and staff as needed

- High School Diploma or General Education Diploma (GED) plus six (6) years of progressive experience in an administrative position supporting middle and/or executive management in a large, multi-level organization
- Depending on the functional area supported, additional knowledge, skills, abilities and experience may be required
- PC proficient with ability to use reputed company Office Software, including but not limited to; Word, reputed company, and PowerPoint
- Highly proficient typing/data entry skills
- Good time management, organizational, multi-tasking and interpersonal skills
- Ability to manage confidential information
- Strong verbal and written communication skills with good spelling, punctuation and basic grammar
- Ability to work independently and as a team member
