Legal Spend and Law Firm/Vendor Operations Analyst

Job Description: Job Summary: Support client’s legal spend and outside counsel/vendor operations across the full engagement lifecycle (from onboarding and contract control through invoice/billing compliance and records management), ensuring adherence to standards, timely processing, and auditable documentation. Essential Job Responsibilities

  • Manage the matter/engagement lifecycle from initiation to close; confirm all firm/vendor arrangements meet client standards.
  • Review engagement letters/statements of work (ELs/SOWs), flag/redline deviations to retention policies/standards, and escalate as needed; secure executed copies.
  • Enter and maintain matters in Legal Tracker (or equivalent); configure reminders for key dates; maintain version control and complete audit trails.
  • Track invoices across all firms/vendors; enforce billing guidelines and resolve discrepancies with vendors and internal stakeholders.
  • Help implement standardized workflows, approval paths, and documentation controls across the engagement.
  • Track compliance and cycle times; maintain centralized repositories for engagement documentation and evidence of controls.
  • Leverage department tools for data extraction and basic risk checks; support training and enablement on new processes/tools.

Qualifications & Characteristics

  • 3–5+ years in legal department operations, outside counsel/vendor management, or e‑billing/matter management (e.g., Legal Tracker).
  • Demonstrated rigor in contract/document control, audit trail maintenance, and compliance with billing guidelines.
  • Proficiency with Legal Tracker (or similar) and strong Excel/data skills.
  • Clear, concise communicator who escalates issues appropriately and collaborates across legal, finance, and vendors.

Preferred Qualifications

  • Experience automating repeatable tasks (e.g., invoice processing, approvals, renewals) and driving workflow standardization.
  • Familiarity with departmental KPIs and dashboard/reporting needs.

Success Measures (Examples)

  • On‑time invoice processing and billing‑guideline compliance rate.
  • Cycle‑time reduction for firm/vendor onboarding and engagement close.
  • Completeness and accuracy of recordkeeping, including audit trails and document repositories.

The Compensation range for this role is $60,000 to $75,000 USD annually and you are eligible for an annual bonus. #LI-REMOTE #LI-JM1 Your specific salary will be determined based on several factors:
