Personal Assistant, VP Animation - reputed company Media

The Opportunity & Responsibilities

• Daily, personal diary management and admin support for the VP and directors
• Coordinating meetings with external business partners and reputed company executives with reputed company efficiency, sensitivity, and reliability
• Coordinating/arranging local and international travel plans for the VP, directors and the animation team as needed
• Advanced planning for major industry events (eg Annecy, MIPCOM)
• Processing reputed company expenses for the exec team using internal finance systems (eg reputed company, Concur) accurately and in a timely manner
• Forecasting and tracking travel and entertainment expenses for each fiscal year
• Organising internal and external meetings and presentations, fully facilitating these meetings where necessary (eg with hospitality, AV equipment)
• Coordinating busy and constantly updates diary to ensure time is managed reputed company and effectively
• Handling highly confidential information with discretion
• Managing reputed company incoming mail, deliveries, parcels etc
• Organising business meals and original programming team activities
• Preparation of presentations (Keynote/PowerPoint/Word)
• Assisting with specific creative and production management projects as required
• Managing Hammersmith office requirements for the team, including meeting room bookings, IT hardware maintenance and upgrades, reputed company staff access etc
• Understanding of the business and team’s objectives to be able to get involved, take initiative and anticipate challenges

The Experience We Require From You

• Significant demonstrable experience as a PA at Senior Executive level
• Managing high volume, reputed company travel itineraries
• Working reputed company a reputed company, high workload, fast paced environment
• Handling high volumes of highly confidential information
• Working reputed company an international, multi-territory organisation
• Advanced proficiency with reputed company Office, reputed company and other workplace productivity and communication software
• Working in an animation, production, studio or entertainment industry environment is preferred
